Privacy Policy

FitRiders Web Site Privacy Policy
At Fit Riders we are privileged each and every day to help members achieve their health and fitness goals. We understand the need to protect personal information provided to us and take the responsibility for protecting your personal data seriously. Our commitment to protecting the privacy and confidentiality of our members’ personal information is addressed in this privacy policy.
We want you to understand why we collect your personal information, how the confidentiality of this information is protected and how you can find out what information concerning you is recorded.

Accountability
Fit Riders is responsible for your personal information under its control. We have appointed a Chief Privacy Officer who is accountable for our compliance with this Privacy Policy.

Personal Information
Personal information is information about you as an individual and includes information that identifies you and that can be used to contact you. This includes such information as your name, birth date, e-mail address, mailing and billing address and telephone number.  It may also include information about your health and fitness levels and goals, if you have communicated these to us directly or through our mobile app or website. We also collect data about the services that you purchase from us, the frequency of your visits to our websites and apps and services that you take advantage of, so that we may constantly strive to offer you the best range of fitness options.

Contacting Us
Fit Riders wants to hear from our members regarding any issues or comments they may have with respect to their memberships or any services offered by us.  When you contact us by postal mail, telephone, email, SMS, live chat, through our website, our app, or through social media, we collect the information that you disclose to us. This may include details such as your name, address, telephone, email and phone number, as well as your questions, inquiries, comments, complaints or requests.

Surveys
From time to time, we may ask you to complete surveys that we use for research purposes and which we will use, for example, to improve our products and services and develop new ones. We will collect the information that you provide if you respond, however you are under no obligation to respond to them.

Identifying Purposes
We will not use or disclose your personal information for any purpose other than those for which it was collected, except with your consent or as required or authorized by law.

Fit Riders collects personal information for the following purposes:
·       to understand your fitness and other related needs and objectives and to assist you in achieving them
·       to determine your eligibility for membership and for receiving our products and services
·       to process your membership payments and to ensure that your account remains up-to-date
·       to invite you to participate in member surveys or other opinion-gathering devices that assist us in making us more responsive to your needs
·       to inform you of various matters relating to your membership
·       to send you newsletters and other information about our products and services that we believe may be of interest to you
·       to conduct contests, prize draws, competitions and other special promotions

Consent

Your knowledge and consent are required for the collection, use, or disclosure of your personal information. When you become a member of Fit Riders, you consent to the use of your personal information for the purposes listed above. You may refuse or withdraw your consent at any time; however we may not then be able to provide you with our full range of services. We will advise you when you refuse or withdraw your consent of the impact that will have on what we are able to provide. Third Party Disclosure
Fit Riders is not in the business of selling member information to others. We do contract with trusted companies to act on our behalf to fulfill certain functions. We may use third party service providers to process or handle personal information on our behalf and to assist us with various services such as data processing, content, advertising, data analytics, and marketing. Some of our service providers are located outside of Canada. As a result, your personal information may be accessible to regulatory authorities in accordance with the law of these jurisdictions. We will take steps to ensure that such parties adhere to our policy with respect to the protection of your personal information.
 
Internet Activities
Fit Riders Member Site
When you log in to the Fit Riders Fitness Member Site, we use a third party vendor, Total Coaching Inc. of Canada, and their fitness app called ‘My Online Coach’.  With Total Coaching we collect your name, email address, and at times your health assessment and goals, browser type, IP address, computer type, type of mobile device (if used), computer operating system, the site from which you navigated to the member portal, the time and date you logged in.  To view Total Coaching’s privacy policy click here, https://www.totalcoaching.com/public/privacy-policy.php

Payment Gateway
Fit Riders uses Stripe Inc., as its payment gateway for processing and collecting your personal financial information as name, email, billing address and credit card information for its initial membership and re-occurring payments.   Fit Riders does not store or have access to view your credit card information stored with Stripe.  Member information is safely stored with Stripes security policies and procedures. Cancellation of Membership
As a member requesting cancellation of the Fit Riders membership, the member may cancel directly via email to  Fit Riders at cancellations@fitriders.com and we will cancel your account for you.  Your cancellation will take effect prior to the start of the next billing cycle, no refunds will be pro-rated against the current billing month.

Membership and Marketing Communication
Fit Riders uses a third party called ClickFunnels LLC. to set up memberships and passes information through to Stripe for payment processing.  Email newsletters and user web statistics are also collected with ClickFunnels following their security and privacy policy.

Opt-out
If you signed up to receive newsletters or other marketing communications from Fit Riders, you can opt-out any time by clicking the unsubscribe link at the bottom of the message. You can also log-in to your account to opt-out and update your marketing preferences at any time. Even after you opt-out or update your marketing preferences, please allow us sufficient time to process your marketing preferences. It may take up to 10 days to process your e-mail related requests, and up to 30 days for all other marketing-related requests. And even after you’ve opt-out of receiving marketing communications from us, we may still contact you for transactional or informational purposes. These include, for example, customer service issues, product-related inquiries, surveys, or any questions thereof.

Minors and Children Under 18
The Fit Riders programs are not intended for minors without parental or guardian permission. We do not knowingly collect any Personal Information from children under the age of 18 or knowingly track the use of our Sites by minors without written permission from the individual’s parent or legal guardian.

Web Analytics
Web analytics is the collection, analysis, measurement, and reporting of data about Web traffic and visits for purposes of understanding and optimizing Web usage. Information in ClickFunnels and from any of the Fit Riders websites and mobile applications may be used for the purpose of web analytics to remember your online interactions with Fit Riders’ Web sites.

Google
Fit Riders may also use third-party Web analytics services on our websites, such as those from Google Analytics. These service providers help us analyze how users use our websites. These providers may collect various data points associated with your visits to our websites, including your IP address, and they may place cookies to help with the analysis.  To learn more about Google Analytics and how to opt-out, click here.

Social Media
If you connect a social media account with any of our websites or applications or engage with our websites or applications through a social media platform, we may share your information with that social media platform, and it may share information about you with us. We may use this information to personalize your experience on our sites and on the third-party social media platforms, or to provide you with offers or other products or services you may request. The social media services’ use of the shared information will be governed by the social media services’ privacy policy and your social media account settings. If you do not want your information shared in this way, do not connect your social media service account with our websites or applications.

Retention
We will only retain your personal information as long as is necessary for the fulfillment of the purposes for which it was collected or as required by law. Personal information is securely stored until such time as it is no longer required, after which it is anonymized or destroyed.

Accuracy
Fit Riders strives to maintain the accuracy and completeness of your personal information. You may ask us to delete or correct information contained in your file. Any such requests must be made in writing to our Chief Privacy Officer, at the address below.

Member Access
In order to fulfill requests for access to information in your file or to answer any questions or address any concerns individuals may have about privacy, Fit Riders has designated a Chief Privacy Officer. In addition to answering inquiries, the Chief Privacy Officer is also responsible for ensuring that the Policy requirements and related procedures are being met.
All inquiries or complaints regarding privacy should be directed in writing to the Chief Privacy Officer by mail or e-mail at the addresses below. All inquiries will be responded to within thirty (30) days from the date on which our Chief Privacy Officer has received the inquiry.

Amendments to Our Privacy Policy

Fit Riders may amend this Privacy Policy at any time. If we make any material change in how we collect, use, disclose, or otherwise process Personal Information, we will prominently post an updated Privacy Policy on our Site. Any material changes to this Privacy Policy will be effective 10 days after our posting of the updated Privacy Policy. If you disagree with our Privacy Policy changes, you may de-activate your account.
Changes to this policy were made on December 2nd, 2018.
